Learn how to get up and running with APEX Alerts to AZ in just a few steps.
Before You Begin
To use APEX Alerts to AZ, you'll need:
AgencyZoom Account
You must have valid AgencyZoom credentials. APEX Alerts to AZ uses AgencyZoom for authentication - no separate password is required.
Important: Use the same email and password you use to log into AgencyZoom.

Quick Start in 5 Steps
1. Subscribe to APEX Alerts to AZ
Click "Subscribe" on the login page and choose your preferred billing plan. Complete the secure checkout process through Chargebee.
2. Create Your Account
After subscribing, you'll be redirected to create your account. Use your AgencyZoom email address and credentials.
3. Log In with AgencyZoom
Use your AgencyZoom email and password to log in. The system verifies your credentials with AgencyZoom directly.
4. Export Alerts from APEX
In APEX, go to Critical & Pending Alerts > Unworked tab. Select all alerts, generate a PDF, and mark them as processed.
5. Upload and Process
Upload your PDF to APEX Alerts to AZ, select CSRs for assignment, and click "Process Selected" to create tasks in AgencyZoom.
Understanding User Roles
Account Manager
The primary subscription holder who can:
- Add/remove team members (up to 5)
- Manage subscription and billing
- Control team-wide settings
- Edit alert mappings for the team
- View all team activity
- Access account management features
Team Member
Users added to a team who can:
- Access all core features
- Process PDFs and create tasks
- Share policy mappings with team
- Edit alert mappings (if granted permission)
- Manage their own preferences
- View team-shared data
First Time Setup
After logging in for the first time, we recommend completing these setup steps:
- Navigate to Team Management from your user dropdown
- Click "Add Team Member"
- Enter the team member's AgencyZoom email address
- Optionally grant permission to edit alert mappings
- Click "Add Member" to grant access
Team members can log in immediately using their AgencyZoom credentials.
- Navigate to AZ Sync from your user dropdown
- Drag the "Sync AZ Lists" bookmarklet to your browser's bookmarks bar
- Open AgencyZoom in a new tab and log in
- Click the bookmarklet while on any AgencyZoom page
- Wait for the sync to complete
This imports service categories, priorities, and pipelines for use with service tickets.
- Click the notification bell icon in the top-right corner
- Select "Notification Preferences"
- Toggle on/off the types of notifications you want to receive
- Click "Save Preferences"
- Test your settings with the "Test Notifications" button
You'll receive real-time notifications when your PDFs finish processing.
Best Practices
Do:
- Export and process alerts regularly (daily or weekly)
- Always mark alerts as processed in APEX after exporting
- Review failed rows and update customer information as needed
- Use round-robin assignment to distribute work evenly
- Take advantage of team sharing for efficiency
Don't:
- Process the same alerts multiple times
- Upload PDFs without marking them processed in APEX
- Share your login credentials with others
- Exceed API rate limits by processing too quickly
- Ignore processing failures without investigating
